Can World Meetings & Events handle an entire event?

Yes, we can!  We can assist with as much or as little as needed.  We will partner with you every step of the way and help to coordinate all the details to help make your event a success.  Our Team’s event management expertise includes working with budgets, schedules and vendors to create the best possible event. Our event management team will start with understanding the vision and will work with finalizing the concept for the event. Once this is completed, our event management team will work on the details. This might include but it is not limited to a themed event, specialized menus, scheduling talent and entertainment, marketing, attendee registration, pre-event attendee engagement and transportation.

Can you provide Meeting Planners on-site to execute and manage our meeting or event?

Yes, we can manage the event from start to finish including on-site assistance. The onsite assistance is to ensure the event runs seamlessly and operates as planned. They review every detail of what is to occur prior to it happening. 

Why would I need assistance for Hotel Sourcing?

Our hotel sourcing team will do the work for you.  We can assist with determining the event location and once the host city is chosen the next step is to determine the logistics for the accommodations.  A member of our hotel sourcing team will work with you to find the accommodations that will meet your event objectives. We will present feedback and suggestions on items that will need to be considered to minimize your risk. We will provide the needed research along with the suggested contract negotiations for your events. 

Do you have special hotel rates?

World Travel Inc. has over 30 years of experience as a Travel Management Company and through the years we have developed strong relationships within our industry.  This experience does allow for great negotiations and competitive pricing on behalf of our clients.  We can negotiate discounts to help you stay within your budget and assist with negotiating the contract to minimize risk.

Am I able to receive customized reporting on my event?

Yes, we will create custom reports for your event and send you a link to access the reports anytime you need them.  All reports are live showing current data.

Why would I need a mobile app for my event?

A mobile app helps to give your attendees a unique experience where they will have everything at their fingertips. It also allows real time communication pre, during and post event. This includes event maps, speaker Information, social media integration, attendee games, and much more.  The mobile app promotes the green effect allowing you to nearly eliminate paper.

Am I able to brand the mobile app with my meeting logo?

Yes, our meeting technology specialists will be able to customize your mobile app with graphics that you provide.

Can attendees customize their agendas on the mobile app?

Yes, attendees will have the ability to add sessions that they are interested in attending to their personalized agenda within the mobile app.

Can attendees communicate with each other on the mobile app?

Yes, this feature can be enabled at the initial set up of the mobile app.  The attendees can locate each other on the attendee icon of the app and message each other to set up appointments or just to say hello.

Will attendees be able to see their travel details in the mobile app?

Yes, hotel information is visible in the mobile app and air travel can be integrated into the registration site. The Meeting Technology Specialist will review the details during your discovery call.

What is the difference between a Meeting and a Group?

Meeting & Event Travel - Attendees traveling from various locations to one destination to attend conferences, incentives, sales meetings and trainings.

Group Travel (Contracted Group Block Space) - 10 or more travelers departing from the same city, same flight and same dates. Group travel is generally used for destination events such as weddings, team and student travel.

Can travelers without profiles book with World Meetings and Events?

Yes, our team can service non profiled travelers based on your policy directive.

Will I have a World Meetings and Events designated resource once bookings begin through event travel?

Yes, all events will have a designated resource.

Can guests of meeting air attendees book with World Meetings and Events if paying on their own?

Yes, our team can service guest travel based on your policy directive.

When using Concur meetings can attendees book via their mobile device?

Reservations booked via the Concur mobile app will not capture under custom meeting programming.

How will change requests be handled after initial ticketing?

Our team will follow your policy directive. 

Do you have an air manifest that ground transportation vendors can use?

Yes, our standard arrival/departure manifest is available and can be scheduled during setup.

Do you have a report that I can use to reconcile ticket charges?

Yes, our standard group detail report will provide applicable data.
